Why the sample stage matters
Bulk price and delivery only become real after you approve a sample that matches the brief. Skipping or rushing this stage is how programmes end up with wrong dimensions, wrong hardware, or a material that does not match the swatch.
On an OEM/ODM path, the sample is the contract for look, construction, and often packing. Treat approval as a controlled gate—not a quick “looks fine” email.
What you should lock before sampling starts
Send a clear brief so the factory is not guessing:
- Style reference — sketch, tech pack, or blank structure / factory sample by style code
- Size — L × W × H, strap drop, pocket list
- Face and lining — material type, colour, weight/thickness if known
- Hardware — finish, zipper preference, logo method
- Branding — private-label or unbranded; artwork files if ready
- Packing expectation for the sample (retail-ready vs simple polybag)
- Target bulk quantity band (helps material advice; site MOQ from 500 pcs per style)
Sample fees are quoted with the brief. Complexity and logo method affect sample cost—ask when you send the brief.
Step 1: Pattern
The pattern room turns your sketch or reference into cut panels and a construction sequence. For a factory sample by style code, the existing pattern is adjusted to your size and pocket changes rather than built from zero.
Check at this stage (even on paper or CAD if provided):
- Panel names and grain direction notes
- Seam allowances
- Hardware placement marks
- Logo position
If the pattern is wrong, sewing will not fix it.
Step 2: Material confirm
Do not sew a “sales sample” in a substitute material and call it approved for bulk unless you explicitly accept that risk.
Confirm:
- Face and lining swatches against your board
- Hardware finish on a physical piece when colour is critical
- Label and logo method on the actual substrate
Material lock is the usual starting gun for the sample clock. Sampling typically takes about two weeks after specs and materials are locked.
Step 3: Proto / first sample build
On the Huadu floor, the sample is cut, sewn, edge-finished, hardware-fitted, and packed per the brief. The goal is a wearable, measurable bag you can compare to the tech pack.
When the sample arrives (or is reviewed on video/photo if you cannot travel):
- Measure key dimensions
- Operate every zipper and clasp
- Check stitch quality and edge paint
- Compare logo and colour to approved references
- Note packing if packing is part of your retail standard
Write feedback as a numbered list with photos. Vague comments (“make it nicer”) delay the next round.
Step 4: Revisions
Most programmes need at least one revision round. Common changes:
- Strap length or drop
- Pocket depth or placement
- Hardware swap
- Edge paint colour or thickness
- Logo size / position
Each revision should reference the previous sample version (date or sample ID). Keep one golden sample aside once you are close—do not wear out the only approved piece.
Step 5: Approval window
Agree how approval is recorded:
- Written “approved for bulk” email with style code and sample date
- Photo pack of the approved sample (six sides + logo close-up + open interior)
- Sealed swatches for face/lining/hardware if needed for reorders
After approval and order confirmation, bulk is typically about two months FOB, with shipment via Shenzhen or Guangzhou. Larger programmes are quoted to brief; primary production path remains the Huadu floor. Private-label and unbranded are both OK.
